CONGREGATIONAL ADMINISTRATOR
Position Description

 

Reports to: Board of Directors
Supervises:  Sextons, office volunteers, bookkeeper, various contractors
Hours:  40 hours/week
Status: Exempt
Salary: $80,000/year
Benefits: paid vacation and sick time, contribution to retirement fund after 1 year of employment; $1000/month non-accountable reimbursement.

 

ABOUT THE FIRST UNITARIAN CHURCH OF OAKLAND

We are brave, curious, and compassionate thinkers and doers. We are diverse in faith, ethnicity, history and spirituality, but aligned in our desire to make a difference for the good. We meet for services weekly on Sundays at 10:30 in person and on zoom.

 

POSITION OVERVIEW

The Congregational Administrator (CA) coordinates and directs the administrative, financial and human resources functions of the church.. The expectation is that the CA will attend Sunday church services at least once per month in order to develop relationships with members of the congregation.


SPECIFIC RESPONSIBILITIES

Human Resources Management

  • Oversee consistent, inclusive hiring processes using best practices
  • Provide onboarding and offboarding processes including collecting required documents and following local, state and federal laws
  • Manage benefits (such as vacation and sick time, retirement plans, etc.)
  • Contact legal support with questions as necessary
  • Ensure submission of payroll and tracking of time off
  • Maintain employee files
  • Support volunteer HR committee

Oversight of Rental Program

  • Meet with and schedule potential rental clients
  • In conjunction with Sextons, ensure appropriate staffing for events
  • Prepare and execute rental contracts with clients

Facilities Management

  • With Sextons, become knowledgeable of building needs and create system for congregants and staff to report needed repairs or upgrades
  • Schedule and meet with contractors as necessary
  • Schedule and meet with (or arrange for someone to meet with) various inspectors (fire, building, etc.)
  • Maintain key log of keys distributed to congregants

Finance/Risk Management

  • Work with bookkeeper and finance team to develop annual budget
  • Work with bookkeeper and finance team to implement financial processes and controls such as approval of A/P and coding of invoices
  • Ensure proper annual financial and legal filings
  • Approve invoices and send to bookkeeper
  • Ensure annual insurance renewals (liability, umbrella, D & O, health)

Communications

  • Work with church leaders to collect content for weekly congregational email
  • Oversee coordination and sending of congregational email with office volunteer

Overall Administration

  • Triage walk-in requests, phone calls and emails from congregants and the public
  • Maintain files and well-organized physical and digital office space
  • Maintain master list of all access codes for church property.
  • Maintain contracts and contact appropriate support for office equipment and IT functions when necessary
  • Answer phones and open mail

SKILLS AND EXPERIENCE DESIRED

  • Three years’ experience in administration, preferably in a non-profit organization or religious/spiritual community
  • Experience setting up new systems or analyzing and improving existing systems and processes
  • Knowledge of basic employee law and best practices (or understanding of available resources for getting questions answered)
  • Experience supporting volunteers
  • Strong leadership and team-building skills and experience
  • Ability to support the church’s intentional anti-racist, inclusive culture
  • Strong written and verbal communication skills in English
  • Familiarity with non-profit financial processes
  • Understanding of annual filing requirements and required non-profit reporting
  • Proficiency in Microsoft Office, database management and email programs
